This article covers how to create and customize Lead Statuses to complement your sales processes and workflow.



Part 1: Lead Status Settings

  • Click Settings on the left-hand menu.
  • Select "Lead Statuses" in the Sales column.

  • Once you are on the Lead Status Settings page, you will see a list of your current Lead Statuses and their associated symbols or icons. If this is your first time accessing your Lead Statuses, you will see a list of default statuses.

  • From this page, you will be able to Add, Edit, Delete and Reorder your lead statuses.

Part 2: Customize Your Lead Statuses

  • To create a new Lead Status, click the New button in the top right-hand corner of the page.

  • Each new Lead Status requires the following:
    • Name: The name that you want to give your lead status pin such as "Appointment," or "Referral".
    • Abbreviation: A shortened form of your lead status pin's name E.g. "APPT," or "RF."
      • Note: there is a 4 character limit for abbreviations
    • Color: The color that you want to represent your Lead Status.
    • Icon: The Icon that you want to represent your Lead Status.
  • Once you have made your changes be sure to hit "Save" in the upper right-hand corner.

  • You can also Edit existing Lead Statuses by selecting the status you would like to change, and following the same steps as above.
  • If you need to delete an existing Lead Status, select the Status you wish to delete and click on "Delete" near the top right corner next to "Save".

  • After Clicking on "Delete" a box will appear asking you to select a Lead Status for Status reassignment. This will prevent you from deleting any existing leads that may be assigned to the Lead Status that you are deleting.

  • Once you select the backup status you can safely click "Delete". The Lead Status that you have deleted will not be removed from the Lead Status list, and from the mobile app.

Part 3: Best Practices

B2C | What to Consider

  • Have a Status for "Not Home AM" and "Not Home PM"
    • Having a Not Home AM & PM allows reps to have an indication of the last time of day a door was knocked with no answer. It also might be useful to have Not Home Morning, Not Home Afternoon, & Not Home Evening.
  • Delete "Other"
    • Deleting the default "Other" Lead Status eliminates the temptation to put "Other" generically for everything. It is best to be direct with lead statuses. 
  • Appointment Set
    • This one may be a given, but don't forget to add it if you are setting Appointments through the app.
  • Referral
    • Get in the habit of asking for Referrals when you sign deals. 
  • Do Not Contact
    • Hopefully your team never needs to use this, but in the instance they come across someone your company would not want to do business with, have a way to mark the negative interaction in the app so the person/people may be avoided in the future is the safest route to take.
  • Contract Signed / Sale
    • Make it obvious for your reps what a "Sale" looks like.
  • Lost to Competitor
    • Keep track of why people chose to go with a competitor to improve your presence in your market.

B2B | What to Consider

  • Change "Not Home" to "Not Available"
    • Since you are not canvassing residential areas, make each Lead Status clear to your market needs.
  • Consider any type of Lead source (ie Corporate Lead? Website Lead?)
    • Have a way for your Admins to add in Leads of different sources so you may keep track of the original inquiry when approaching a business that reached out to your company.
  • Cease and Desist
    • Consider having a Lead Status where the potential client asked you to never go back to avoid conflicts.
  • Gatekeeper
    • Used in situations where you are unable to get past the front desk.
  • Rescheduled
    • Have a way to keep track of Appointments that fell through. Please note: If a client is unwilling to place time on your calendar for you and "Go Back" is needed, you may want to consider a different approach to your pitch.
