Part 1: Scheduler Permissions
This part will cover the different permissions that need to be adjusted in order for users to use Scheduler.
- From the SalesRabbit Web App, navigate to "Settings" -> "Roles & Permissions".
- There are 2 Scheduler specific permissions that appear for accounts with Scheduler Enabled:
- Schedule For Others: the ability to schedule appointments on another user's calendar, depending on the set org level (Company, Office, Team).
- Accept Appointments: determines whether a user's calendar can be scheduled on by other users.
- These permissions need to be toggled on or off depending on a user's role.
- For example, an account with a "Setter" role and a "Closer" role will need to modify the permissions for both roles.
- A "Setter (who is scheduling appointments for a closer) will need to have enabled "Schedule for Others", but not "Accept Appointments.
- A "Closer" role, would need to have both "Schedule for Others" and "Accept Appointments" enabled.
- For example, an account with a "Setter" role and a "Closer" role will need to modify the permissions for both roles.
- These permissions ultimately determine who can schedule and who can be scheduled for. Those permissions are determined by a user's Role.
Part 2: Scheduler Settings
This part will cover how to edit Scheduler settings on the SalesRabbit Web App.
- Next, set up the Scheduler Settings.
- From the Web App, navigate to "Settings" -> "Scheduler"
-
Admins can set basic scheduler settings that apply to all users. Scheduler settings include:
- Setting which days each of your team members can be scheduled for.
- Setting a Start and End Time for appointments to be scheduled between.
- Optionally, users can automate the Lead Status Update. Meaning, after an appointment is created, the system will automatically update the status of the lead to the chosen status on this page.
- Click "Save" to apply your changes.
Part 3: Authenticate Your Calendar
This part will demonstrate how to authenticate your calendar to use with Scheduler. This action must be taken by each user in your organization in order to schedule appointments for each other.
- Calendar authentication must be done in the mobile app.
- Log into the SalesRabbit mobile app.
- On the Home Screen, select the profile icon in the upper left corner (iOS) users.
- If Scheduler has been enabled on your account, the option to "Sync Calendar" will change to "Add Calendar". Select "Add Calendar".
-
Select your email provider.
- Note: Scheduler currently supports Google and Microsoft Calendars only.
-
Enter the email you will be using for scheduling -> click "Next".
- Note: this will often be your own or company email. It's not recommended for each user to use the same email.
- Enter the password for that account -> click "Next".
- You may be asked to verify via 2 Factor Authentication. Once verified, you'll be asked to review SalesRabbit's Privacy Policy and Terms of Service.
- Click "Continue" -> "Allow".
- Once finished, the email for the calendar you've connected will appear in the Home Page Settings in the mobile app.
-
To connect a different calendar or to remove a calendar, simply select the icon on the right.
- Additionally, users can use the "Set Reminder" for automated reminders for their own scheduled appointments.
