Many companies are designed to function with a setter-closer model and need to have the capability to assign other's appointments. One of the ways for user to assign appointments to other users can be done by building a SalesRabbit Calendly Connector to a Calendly account. Calendly is an automated scheduling software that allows your reps to assign appointments to closers.

Benefits include:

  • A free basic Calendly plan.
  • The service only shows available slots rather than the full calendar.
  • Email confirmation for the customer.
  • Buffers for the Closer, allow travel time around set appointments.
  • Scheduling link access is embedded in the SalesRabbit mobile app and accessible from the lead's detail page.

Note: There are benefits to using a paid Calendly plan, but it's possible to connect individual reps' calendars while using the free plan.


Part 1: Setting Up a Free Calendly Account

This part will demonstrate how to create your own free basic Calendly account. In this account, you'll create a event to use for scheduling.

Note: each individual that needs to have appointments made for them by other people will need to set up their own Calendly.

  • Go to Calendly to create your free Calendly account.
  • If creating a new account, you'll be presented with options to connect your desired calendar and set your availability. If you already have an existing Calendly account, continue to Part 2 of this article.
  • After verifying your account email, you'll be asked to connect the calendar you'd like to use for appointment scheduling.

    • You'll then be asked to set your availability. Select the days/hours you are available for appointments to be scheduled. Also select your time zone!

Part 2: Adjust Your Appointments

This part will demonstrate how to adjust availability for your Calendly Event Type.

  • Select "Scheduling" in the left hand menu.
  • This page will display a list of all your "Event Types". To edit your new event, click the three dots within the event -> click "Edit".

  • In the right hand pop-out, you'll be able to edit the duration, location, and availability for this event.
    • Rename: rename your event by clicking on the event name. 
    • Duration: change the length/time for the scheduled appointment.
    • Location: adjust where the meeting will take place. You can leave this option blank, since most appointments will take place at the lead's location.
    • Availability: adjust which days/times you're able to accept appointments. Additionally, select how far into the future and how much notice you'd like to have.
  • Click "Save Changes" to apply your event settings.

Part 3: View Landing Page

This part will demonstrate how to view the landing page and see what your customer/rep will experience when using the booking page to verify that it's functioning to your liking.

  • Toward the upper right side, click the blue "View Landing Page" link.

  • Select one of the available dates and create a test invite to experience the step-by-step process the potential customer/SR user will take.
